Class Policies, Terms & Conditions

​These terms apply to all memberships, class packs, and single session purchases at Bug Out Reformer Studio (BORS). By making a purchase, clients acknowledge and agree to the following policies. 
 
These policies exist to ensure a fair, safe, and enjoyable experience for all clients.
 
1. Membership Terms
Memberships require a 3-month initial commitment. After this period, memberships continue on a month-to-month basis until cancelled with at least 2 weeks notice via email, text, or through the client portal.
 
Memberships:
  • Cannot be placed on hold
  • Do not include guest privileges
  • Are non-transferable

Classes must be used within the 1-month billing cycle. Unused classes do not roll over and missed classes do not extend the membership billing cycle.
 
Early Membership Cancellation
Cancelling before the 3-month commitment is fulfilled will result in an early termination fee equal to 50% of the remaining contract balance. Example: If a $200/month membership is cancelled after the first month, $400 remains on the contract. The early termination fee would be 50% of $400 = $200. In the event of the early termination of a 3-month contract, attendance to classes after the termination will not be permitted.
 
Exceptions may be considered for documented medical conditions or relocation at the discretion of the studio.
 
2. Class Pack Policies
Class packs must be used within their designated expiration period. Expiration dates cannot be extended.
 
Class packs:
  • Do not auto-renew
  • Are non-transferable
  • May be used for a guest only if the purchaser attends the class with them
 
3a. Booking, Late Cancellation & No Show Policy
Clients are responsible for booking classes through the studio scheduling system. Classes may be cancelled up to 8 hours before the scheduled start time without penalty.  Cancellations made within 8 hours of class start time are considered a late cancellation and will result in the loss of the class credit used for booking. 
 
Cancellation and no-show policies apply to all bookings, including memberships, class packs, and single session purchases.
 
Failure to attend a booked class without cancelling in advance will be considered a no-show and the class credit used for booking will be forfeited.
 
Habitual late cancellations or no-shows may be defined as five (5) or more occurrences within a sixty (60) day period, at which point the studio reserves the right to begin charging a $20 fee per occurrence. Repeated offenses may result in booking restrictions at the studio's discretion.
 
3b. Low Enrollment Policy. Classes with one or less booking reservations may be canceled at the studio’s discretion (3) hours prior to the scheduled start time. 
 
4. Waitlist Policy
If a class is full, clients may join the waitlist. When a spot becomes available, clients will be automatically promoted to the class in the order they joined the waitlist up until 2 hours before the class start time.  
 
5. Late Arrival
For safety and minimal disruption, clients arriving more than 5 minutes after class begins will not be permitted to join the class and the class credit will be forfeited.
 
6. Studio Etiquette & Safety
Clients must follow instructor guidance regarding equipment use, exercise technique, and modifications.
 
Grip Socks
Grip socks are required for all Reformer classes for safety and hygiene. Socks are available for purchase at the studio if needed.
 
Phones
Phones must be set to silent mode while in the studio, and phone calls cannot be taken while class is in session.
 
7. Children & Age Policy
Children may not remain in the studio during classes unless they are registered participants.
 
Participation for minors is determined case-by-case based on body awareness, coordination, and proprioception.
 
If readiness for group classes is uncertain for any participant of any age level, a Private, Partner or Semi-Private session is recommended as a starting point for evaluation. Contact the studio if you'd like to schedule one of these sessions.
 
8. Schedule Changes & Studio Closures
Bug Out Reformer Studio reserves the right to modify class schedules, instructors, or offerings as needed.
 
As a boutique studio with limited staff, occasional closures may occur but plenty of notice will be provided beforehand. Most closures will more than likely be during major holidays, severe weather, or dangerous driving conditions. Safety is always prioritized.
 
9. Studio Conduct & Equipment Responsibility
Bug Out Reformer Studio reserves the right to refuse service or remove any participant whose behavior is disruptive, unsafe, or disrespectful.
 
Clients are expected to treat all studio equipment and facilities with care. Damage resulting from intentional misuse, negligence, or failure to follow instructor guidance may result in the client being responsible for repair or replacement costs. Normal wear and tear of equipment is excluded from this policy.
 
Studio equipment may not be used without instructor supervision unless permitted.
 
10. Policy Updates
Studio policies may be updated periodically. Continued participation in classes constitutes acceptance of the most current policies.
 
11. Payment & Membership Termination
Membership payments must remain current. If a payment fails or remains unpaid, Bug Out Reformer Studio reserves the right to suspend booking privileges or terminate the membership until the outstanding balance is resolved. Clients remain responsible for all unpaid balances owed to the studio.
 
12. Collection of Unpaid Balances
Clients are responsible for all fees associated with their purchases and memberships. If an account becomes delinquent and remains unpaid after reasonable collection attempts, Bug Out Reformer Studio reserves the right to pursue recovery of the outstanding balance through appropriate legal means, including small claims court where permitted by law. Allowable court costs or collection expenses may be sought as part of that recovery where applicable.
 
13. Refund Policy
All sales are final. Bug Out Reformer Studio does not offer refunds for memberships, class packs, single sessions, or retail purchases. Clients are responsible for reviewing expiration dates and purchase terms before completing a transaction.
 
14. Governing Law
These terms and conditions shall be governed by and interpreted in accordance with the laws of the State of Alabama.
 
15. Reservation Limits
To ensure fair access to classes for all members, Bug Out Reformer Studio reserves the right to limit the number of future class reservations a client may hold at one time. Booking privileges may be adjusted at the studio’s discretion to maintain fair access to classes.
